505 Joint Task Force Allocation of Donations Policy

Purpose

This policy outlines how 505 Joint Task Force (505 JTF) allocates donations to ensure responsible, ethical, and mission-aligned use of all funds received. Our goal is to honor donor intent, support operational transparency, and maximize the impact of every contribution.

1. Guiding Principles

  • Mission Alignment: All funds will be used in support of 505 JTF's mission, including humanitarian aid, disaster response, preparedness education, volunteer training, and communications capability.

  • Donor Intent: Donor preferences will be honored whenever contributions are designated for a specific program, mission, or purpose.

  • Transparency: Donation allocation practices will be clear and accessible to donors, volunteers, and oversight bodies.

2. Types of Donations

  • Restricted Donations: Funds specified by the donor for a particular project, campaign, or function (e.g., disaster relief, radio equipment, volunteer gear). These funds will be tracked and allocated solely for that purpose.

  • Unrestricted Donations: General support funds used where most needed, including administrative costs, outreach, training, and emergency deployments.

  • In-Kind Donations: Non-cash contributions (e.g., gear, food, equipment) will be logged, assessed for value, and used in alignment with our mission.

3. Allocation Breakdown (Unrestricted Funds)

Unless otherwise specified, unrestricted donations will generally be allocated as follows:

  • 60% – Direct Program Support: Field deployments, disaster relief, community education, volunteer materials, and mission logistics.

  • 20% – Volunteer Training & Support: Training courses, certifications, safety equipment, and resources for field members.

  • 15% – Operational Expenses: Communication platforms, digital resources, coordination tools, and basic overhead.

  • 5% – Reserve & Emergency Fund: Maintained to respond quickly to urgent missions or unforeseen needs.

Note: Percentages may be adjusted based on mission demands, seasonal needs, or emergency conditions, with leadership approval.

4. Financial Oversight

  • Tracking: All donations are logged in financial records with category designations (restricted/unrestricted/in-kind).

  • Reporting: Regular financial reports will be shared with leadership and available to donors on request.

  • Review: Allocation practices will be reviewed annually by the leadership team to ensure efficiency and compliance.

5. Communication with Donors

  • Donors will receive confirmation of donations, including any designations noted.

  • If a restricted fund is fully met or cannot be used as intended, 505 JTF will contact the donor to offer a refund or redirect options.

  • Donors may request reports on the impact of their contributions.

6. Policy Review

This policy will be reviewed annually and revised as needed to reflect changes in operations, compliance requirements, or donor expectations.
